Position Summary:
Jeter Therapy Group is seeking a highly organized, professional, and motivated Clinic Scheduler to join our dynamic outpatient therapy team. This individual will play a vital role in coordinating patient schedules, supporting daily clinic operations, and ensuring excellent customer service for our patients and families.
Our multidisciplinary clinic provides Speech Therapy, Occupational Therapy, Physical Therapy, ABA Therapy, and Counseling services for pediatric and adult populations. Teamwork, flexibility, and strong communication skills are essential for success in this role.
Essential Duties and Responsibilities:
- Schedule, confirm, and coordinate patient appointments across multiple therapy disciplines.
- Communicate effectively with families, providers, therapists, and referral sources.
- Maintain accurate scheduling records within electronic medical record (EMR) systems.
- Answer incoming phone calls and assist with patient inquiries in a professional manner.
- Assist with patient intake, registration, and verification of demographic information.
- Coordinate therapist schedules and assist with schedule optimization.
- Manage cancellations, reschedules, waitlists, and schedule adjustments efficiently.
- Support front office operations and daily administrative tasks.
- Ensure excellent customer service and maintain a welcoming clinic environment.
- Maintain confidentiality and comply with HIPAA guidelines.
- Collaborate with clinical and administrative staff to support smooth clinic operations.
Qualifications:
- High school diploma or equivalent required.
- Prior scheduling, receptionist, medical office, or administrative experience preferred.
- Experience in a healthcare or therapy setting preferred.
- Strong organizational and multitasking skills.
- Detail-oriented with strong time management abilities.
- Friendly, professional, and compassionate communication skills.
- Ability to work efficiently in a fast-paced environment.
- Proficiency with computers, scheduling systems, email, and phone communication.
- Ability to problem solve and adapt to changing schedules and clinic needs.
Preferred Skills:
- Knowledge of outpatient therapy services and scheduling processes.
- Experience working with pediatric and/or adult therapy populations.
- Ability to manage multiple therapist schedules simultaneously.
- Strong interpersonal and teamwork skills.
Physical Requirements:
- Ability to sit, stand, walk, bend, and perform office-related tasks throughout the workday.
- Ability to use office equipment including computers, phones, printers, and copiers.
